How to Export a Print-Ready PDF from Microsoft Word with Embedded Fonts

If you're exporting a PDF file from Microsoft Word for printing, embedding fonts ensures your document looks exactly as intended on any computer or printing system. Here's how to create a PDF with embedded fonts from Microsoft Word:

Export Settings

  1. Open your document in Microsoft Word

  2. Click File > Save As (or Export)

  3. Choose "PDF" from the file format dropdown menu

  4. Click "Options" or "More options" (depending on your Word version)

  5. In the PDF options window:

    • Check "ISO 19005-1 compliant (PDF/A)" - this automatically embeds fonts

    • Ensure "Bitmap text when fonts may not be embedded" is unchecked

    • Select "Best for printing" under Optimize for

  6. Click "OK" and save your PDF

We recommend using the "High Quality Print" or "Press Quality" PDF preset if available.
